We’re looking for a Licensing Coordinator (Contractor) to join our Entertainment & Partnerships team and help us build the operational foundation behind a growing global licensing business.
This is a hands-on role for someone who loves bringing order to complexity, keeping people connected, and making sure the details never get lost. You’ll work closely with our licensing team, internal partners, agencies, vendors, and licensees to keep projects, communication, contracts, events, materials, and day-to-day workflows moving forward.
The Licensing Coordinator plays a critical operational role within the Licensing cell, supporting the execution of licensing programs by keeping workflows, communication, and partner coordination running smoothly. This role helps ensure that vendors, agents, and internal stakeholders are aligned, informed, and supported, allowing the team to operate efficiently and with clarity.
By managing day-to-day coordination, documentation, scheduling, and logistics, the Licensing Coordinator enables the Licensing cell to focus on strategic priorities while maintaining strong operational foundations across contracts, events, materials, and partner relationships.
This role is a great fit for someone who is proactive, highly organized, comfortable working across many different projects, and excited to join a small team that is actively building.
Key Responsibilities
Vendor, Agent & Partner Support
- Support relationships with key vendors, partners, and other suppliers.
- Handle access requests and removals for our licensing software platform.
- Help coordinate day-to-day communication and logistics with licensing agents and external consultants.
- Assist with follow-ups, information sharing, feedback collection, and issue escalation as needed.
Contracts, SOWs & Billing Coordination
- Assist with preparing, tracking, and organizing Statements of Work (SOWs), contracts, and related documentation in collaboration with Legal and Finance.
- Help track invoices, purchase orders, and billing schedules to support timely processing and smooth workflow.
- Maintain organized records of contracts, agreements, invoices, and vendor information.
- Update and maintain budget documents with monthly updates.
Tradeshow, Event & Meeting Coordination
- Act as a key point person for organizing meetings and logistics around tradeshows, industry events, and partner meetings to ensure smooth planning and execution.
Project, Asset & Material Support
- Support licensing projects by tracking timelines, deliverables, and approvals.
- Help coordinate licensed product samples, assets, and materials.
- Assist with preparing trade marketing materials, newsletters, presentations, or sales materials to support outreach efforts.
- Support with the documentation, tracking, and follow-ups with external legal teams around counterfeit goods.
Operational & Administrative Support
- Maintain internal trackers, databases, shared folders, and documentation related to licensing operations.
- Help ensure licensing activities follow internal processes and guidelines.
- Support with meeting scheduling and organization when needed.
Cross-Functional Collaboration
- Collaborate with internal teams such as Legal, Finance, and Game Teams to support licensing initiatives.
- Provide general coordination and administrative support to the Licensing cell as needed.
Experience & Skills
You don’t need to know everything on day one. What matters most is that you’re dependable, curious, detail-oriented, and ready to take ownership of the work in front of you.
- 2–4 years of experience in an assistant, coordinator, or administrative support role.
- Strong organizational skills and attention to detail.
- Experience managing calendars, meetings, logistics, and follow-ups.
- Clear written and verbal communication skills.
- Comfort working with spreadsheets, trackers, and shared documentation.
- A proactive, reliable, and collaborative working style.
